1. Introduction

XTables Champions ("we", "our", or "us") is part of the ESSTA Kids family of learning programmes. We are committed to protecting the privacy of parents, children, schools, tutors and everyone who uses our platform. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices and rights you have.

2. Information We Collect

Account information: Name, email address and password for parent, admin, school, tutor and SENCO accounts.

Child profile data: Nickname, surname, date of birth (used to calculate age), avatar selections, and a unique player code used to connect with friends.

Learning and game data: Game sessions, scores, accuracy, times tables mastered, streaks, homework completion, assessment check-ups and progress reports.

Chat and communications data: Messages sent between children in multiplayer games (Bingo, Connect Four, Guess Who and similar), and messages sent to our support team via contact forms. See "Chat Safeguarding & Monitoring" below for how this data is used.

Payment information: When you subscribe, our payment processor Stripe collects and processes your card details directly — we never see or store your full card number. We keep a record of your subscription status, billing history, discount/affiliate codes used, and Stripe customer and subscription IDs.

School, tutor and SENCO data: Usernames, hashed login credentials, class assignments, student rosters, homework and game assignments, SENCO flags and wellbeing notes recorded by staff about a pupil's learning needs.

Guest pass and lunchtime club data: School name, contact details, redemption codes, and attendee details for free trial access provided through schools or events.

Influencer / affiliate data: Name, email, social media links, discount codes, video submissions and commission/conversion records for participants in our affiliate programme.

Device and usage information: Browser type, IP address, device identifiers and general usage analytics used for security and to improve the app.

3. How We Use Your Information

To provide, personalise and improve the XTables Champions platform
To track learning progress and tailor games, homework and levels to each child
To process subscription payments, free trials, guest passes and discount/affiliate codes via Stripe
To monitor chat messages for safeguarding and wellbeing purposes (see below)
To communicate about account updates, billing, and important notifications
To support schools, tutors and SENCOs in tracking pupil progress and needs
To prevent fraud and unauthorised activity
To comply with legal and safeguarding obligations

4. Chat Safeguarding & Monitoring

Children can only chat with friends they have personally added, using that friend's name and unique player code. Because children's safety is our priority, chat messages are:

Passed through an automated filter that blocks rude or inappropriate language before it is ever sent
Reviewed for signs of bullying, distress or unkindness, so concerns can be flagged for review
Retained for a limited period so parents and, where applicable, SENCOs can review conversations through the Parent Chat Logs and Wellbeing tools
Never shared with third parties except where required for safeguarding or by law

Parents can turn chat off for their child at any time from the parent dashboard, and chat is automatically paused while it is a child's turn to play.

5. Payments & Subscriptions

Subscription payments are handled securely by Stripe, our third-party payment processor. We do not store your full card details on our servers. Discount codes and affiliate/influencer codes may apply a percentage discount at checkout, and we keep records of which code was used to calculate commission for our affiliate partners. Guest passes and lunchtime club access provided through schools or promotional events do not require payment details.

6. Data Security

We implement industry-standard security measures — including encrypted connections and hashed passwords — to protect personal information from unauthorised access, alteration, disclosure, or destruction. However, no online platform is completely secure, and we cannot guarantee absolute security.

7. Data Retention

We retain personal data, learning records and chat logs for as long as necessary to provide our services, support safeguarding reviews, and comply with legal obligations. You may request deletion of your account and associated data at any time.

8. Sharing Your Information

We do not sell, trade, or rent your personal information to third parties. We share information only with trusted service providers who help us operate our application under strict confidentiality agreements — including Stripe (payments), our email delivery provider (transactional and marketing emails), and, where a child is connected through a school, the relevant school staff for safeguarding and homework purposes.

You have the right to:

Access your personal information
Correct inaccurate data
Request deletion of your data
Review your child's chat logs and wellbeing insights, or disable chat entirely
Opt out of marketing communications

10. Children's Privacy

Our platform is designed for children to use under the account and supervision of a parent, school or tutor. We do not knowingly collect personal information directly from children beyond what a parent, school or tutor provides to set up a child's profile (nickname, birth date, avatar). Parents remain in control of their child's data and can review, edit or delete it at any time.
